Privacy Policy

This privacy policy is a plain-English statement of how Barrie Hood Cleaning collects, uses, stores, and shares the personal information you send through this website, written to the principles of Canada's Personal Information Protection and Electronic Documents Act, known as PIPEDA. The short version: the information you send is used to answer your enquiry, quote your kitchen, and do the work. It is not sold, it is not traded, and it is not handed to anyone building a marketing list.

What does the quote form collect, and why?

The quote form collects five things: your name, your phone number, your email address, your business or kitchen name, and a short message describing what you need.

Each field is there because a quote cannot be produced without it. The name and business name identify whose kitchen is being priced. The phone number and email are the two ways of getting the written quote back to you, and in practice a hood cleaning quote almost always needs one clarifying question about hood length, cooking type, or roof access, which is faster by phone than by email. The message field is where the detail lives, and the more specific it is, the closer the first number lands.

Alongside those five fields, the form records the address of the page the request was sent from. That is a piece of technical information rather than personal information, and it exists so it is possible to tell which pages on this site actually generate enquiries and which do not. There is also a hidden field on the form that a human visitor never fills in and automated spam software usually does. It exists purely to discard junk submissions and holds nothing about you.

Nothing beyond what you type is asked for. The form does not collect payment details, and no page on this site should ever ask you for a credit card number, a bank account, or a password. If a page appears to, do not fill it in, and call 705-413-1011 so it can be looked at.

Where does a form submission actually go?

A submitted form is transmitted to the customer relationship management system Barrie Hood Cleaning uses to run its enquiries, where it becomes a contact record and a task for somebody to answer.

Being specific about that matters, because people reasonably assume a website form is an email. It is not. The submission travels from your browser to a small server-side function on this site, which passes it into the customer record system. From there it is worked on the way any enquiry is worked: read, quoted, followed up, and eventually either booked or closed. If you become a customer, that same record is where the job history and the certificates for your kitchen are tracked.

The practical consequence is worth stating: information you submit through the form is stored in a business system, not just read once and forgotten. That is what makes it possible to answer you a week later without asking you to repeat yourself, and it is also why you can ask for that record to be corrected or deleted. How to do that is set out further down this page.

How are phone calls and the chat widget handled?

Calls to 705-413-1011 and messages sent through the live chat widget are treated the same way as a form submission: used to answer the enquiry, and recorded only to the extent needed to do that.

When you call, the number you call from is visible in the ordinary way any business phone shows an incoming number, and notes from the conversation may be written into the same customer record described above so the follow-up makes sense. Do not send credit card numbers or other payment details by text message or through the chat window. If a payment method needs discussing, it gets discussed directly.

The live chat widget on this site is operated by a third-party provider. What you type into it passes through that provider's systems in order to reach a person, and the conversation may be retained there as a message thread. Treat it as you would a text message to a business: fine for describing a kitchen, booking a walk-through, or asking about pricing, not the place for anything confidential. If you would rather not use it, the phone number and the contact page reach the same people.

What about cookies, analytics, and third-party providers?

This website may use cookies and similar identifiers to function correctly and to measure traffic in aggregate, and it relies on outside providers to host the site, deliver the form, run the chat, and store customer records.

Analytics here is about patterns, not people. The useful question is which pages get read, how visitors arrive, and where they leave, and none of that requires knowing who you are. That information is not used to build a personal profile, and it is not combined with your quote request to follow you around the internet. Your browser can block or clear cookies whenever you like, and this site stays usable if you do.

The outside providers are described here by role rather than by product name, deliberately. Providers get changed as a business grows, and a policy that names a specific vendor is usually out of date within a year, which is worse than useless. The roles are: a hosting and content delivery provider that serves these pages, a form-processing function that carries your submission, a customer relationship management system that stores enquiries and job history, an email provider, and a live chat provider. Each of those handles your information only in order to provide its part of the service. If you want to know which providers are in use at the time you are reading this, ask and you will be told.

Being honest about the limit of that promise: no website can guarantee perfect security, and any claim otherwise should be treated with suspicion. Reasonable safeguards are used, information is only given to providers who need it to do their job, and nothing more is collected than the work requires.

How long is information kept, and how do you get it removed?

Enquiries and customer records are kept while there is a business reason to keep them, and are removed on request unless a legal or accounting obligation requires otherwise.

In practice there are two different clocks. An enquiry that never becomes a job is only useful for as long as it might still turn into one, and after that it is dead weight. A customer record is different: job dates, certificates, and invoices for a kitchen have a genuine reason to persist, because an operator asking for a copy of last year's certificate is a normal and reasonable request, and Canadian record-keeping rules apply to invoices regardless of preference.

Under PIPEDA you can ask what personal information is held about you, ask for it to be corrected if it is wrong, ask for a copy of it, and ask for it to be deleted. To do any of those, call 705-413-1011 or use the contact form and say which phone number or email address to search for, so the right record gets found. Requests are answered within a reasonable time, and where something has to be kept, you will be told what is being kept and the reason. A record cannot be deleted from the systems of a provider that has already received it any faster than that provider allows, which is another argument for keeping the list of providers short.

This policy can change as the business or its providers change. The version on this page is the current one, and material changes are reflected here rather than announced separately. Terms covering the service itself, as opposed to your information, are set out on the terms and conditions page, and every page on this site is listed on the site map.

Privacy at Barrie Hood Cleaning: frequently asked questions

The five questions people actually ask before filling in a form.

Does Barrie Hood Cleaning sell or rent your information?

No. Barrie Hood Cleaning does not sell, rent, or trade the information you submit, and it is not passed to anyone building marketing lists. The only parties who handle it are the service providers that operate the website, the quote form, the email, and the customer record system, and each of those handles it only to make the service work.

Do you have to give a phone number to get a quote?

The quote form asks for a phone number because a hood cleaning quote usually needs one clarifying question, and one call settles what four emails would not. If you would rather not give a number, send the contact form with an email address and a note saying email only, or write in with the details and the reply comes by email.

How do you ask Barrie Hood Cleaning to delete your information?

Call 705-413-1011 or send the contact form and ask for your information to be deleted. Say which phone number or email address to search for so the right record is found. Deletion is carried out where there is no legal or accounting reason to keep the record, and where something must be kept, such as an invoice, you will be told what is being retained and why.

Does this website use cookies?

This website may set cookies and similar identifiers to keep the site working and to measure traffic in aggregate, such as which pages get read and which do not. Analytics of that kind is about patterns rather than individuals, and it is not used to build a personal profile. Browsers can block or clear cookies at any time, and the site remains usable if you do.

Who do you contact about a privacy question?

Privacy questions go to Barrie Hood Cleaning directly, by phone at 705-413-1011 or through the contact form on this site. There is no separate department to route through. If a concern cannot be resolved, an individual in Canada can also raise it with the Office of the Privacy Commissioner of Canada.

Questions about your information? Ask a person

Privacy questions, access requests, and deletion requests are handled by the same people who answer the phone. Call 705-413-1011 or send the contact form.
